The Setup checklist
After the first Owner signs in and creates the organization, Halofy opens the Setup checklist. The rest of the console stays locked until the required checks are complete.
The checks update themselves from real activity; there is no skip button. There are four required outcomes and one optional invitation.
Create a team
A team is both a group of people and a boundary around their working memory. Use durable business names rather than temporary project names where possible.
- From Setup, open Teams.
- Select New Team.
- Give the team a clear name, such as Customer Support, Finance, or Operations.
- Add a short description and create the team.
Connect a business system
Open Sources and stay on the Backends tab if the knowledge you need already lives in a connected service.
- Select Add a source.
- Choose the service you use.
- Follow the connection card. Depending on the service, Halofy will either open a sign-in window or ask for the required connection details.
- Choose the correct team placement and finish the connection.
- Start the first update if it does not begin automatically.
- Wait until the source shows that its update completed.
Upload files or add a website
Use a knowledge base when the material is files, a connected folder, or a website rather than a business system.
- Open the Knowledge bases tab.
- Select New knowledge base.
- Name it for the subject it contains, choose its team and business function, and set the appropriate sensitivity.
- Open the new knowledge base and select Add knowledge.
- Add files, a connected folder, or a website.
- For file uploads, wait for at least one file to show Ready or Needs review.
- Supported uploads are text-based files such as TXT, Markdown, CSV, JSON, and YAML.
- The upload screen shows the current size and format limits before you submit anything.
Check that the first memory exists
Open Memory. A successful source update or processed file normally creates the first saved memories, so this step often completes together with the previous one.
If the checklist still says no memory exists, return to Sources and check that the update actually finished or that the uploaded file finished processing. Merely creating an empty knowledge base does not add memory.
Invite a teammate (optional)
Sending the invitation is enough for this optional checklist item; the person does not have to accept before you continue. Solo organizations can skip it.
- Open Teams and choose the team.
- Select Invite Person.
- Enter their email address and choose the appropriate role.
- Send the invitation.
Create access for an agent
Creating this badge completes the setup check. It grants access but does not install anything in an external agent yet - that is a separate step, covered in Connecting an AI agent.
- Open Scoped memory.
- In Scope memory access, enter a useful badge name.
- Choose the team the agent belongs to.
- Choose whether it may read and write memory or only read it.
- Choose its access level and when access should end.
- Select Create scoped badge.
- Copy the key immediately and store it safely.
When setup completes
When every required check is complete, Halofy unlocks the full console.
It does not lock the organization again if a source later needs attention; the Setup page will simply show what changed. You can return to Setup at any time to check the original readiness signals.
